MINUTES OF THE LIBRARY BOARD HELD ON WEDNESDAY, MAY 28, 2025, AT 6:00 P.M. Call to Order — Stephanie Colaianni, Chair Chair Colaiainni called the meeting to order at 6 P.M. II. Approval of Minutes — March 2025 Motion Jeannie Taylor, Library Director Dr. Jones moved to approve the minutes. Ms. Anepete seconded the motion. The motion passed unanimously. III. Chair's Report — Board Chair Chair Colaiainni stated that she attended another card creating lesson at the Library and that it was great. She said that she had been on the wait list. She mentioned that she saw an Meeting Minutes Library Board Boynton Beach, Florida May 28, 2025 Ms. Pagan said that last year kids would read x amount of books and staff passed out little charms to go on bracelets and they will do it again this year. She mentioned that when youth turn in their reading logs at the end of the summer, they enter to win larger prizes and a lottery. She stated that January through March is the Adult Reading Club and this year the prize they got was a lunch box. Mr. Barsky said that they had previously discussed the Dewey Decimal system. Ms. Pagan responded that they are planning to provide a poster size Dewey Decimal system that is branded with the City's logo, which will be placed in the non-fiction section. She said that Tiffany Marhsall is busy designing program guide books, and this is on the list. Mr. Barsky asked about AmeriCorps and understood that it was defunded. He asked how will it impact the Library. Ms. Taylor explained that their AmeriCorp Program is from the Literacy Coalition, which is run through Volunteer Florida. She said that the City submitted their intent to renew and they budgeted for a volunteer. She noted that AmeriCorp is getting expensive and said that for what they are spending, they could hire a part time employee. She mentioned that they run two programs through AmeriCorp, which is the ESL program, and the Afterschool Homework Help. She commented that a part-time person could not handle both programs, so staff will have to determine which program is needed more. She pointed out that the Library is not at that point yet, so they hope to have another year with AmeriCorp before revisiting. Chair Colaiainni noted that the Literacy Coalition has not heard anything either. Ms. Taylor stated that the AmeriCorp volunteer who handles Afterschool Homework Help, agreed to stay for another year, but staff does not make the decision where she is assigned. She said that they can request her, and in the past, AmeriCorp has accommodated their requests with second year volunteers, so she hoped she would be back. Mr. Barsky commented that in the past, the Library was asked to make a presentation to the City Commission, and he asked if one would be made again. Ms. Taylor responded that it is not an annual presentation, and if the City Commission requests one, they will make a presentation again about what they do. VIII. Library Director's Report/Statistics March and April 2025 Monthly Reports Ms. Taylor noted that the April Monthly Report looks different because it was redesigned. She mentioned that the members and staff liked the new format. 3 Meeting Minutes Library Board Boynton Beach, Florida May 28,-2025 Chair Colaiainnio stated that she works with Google and is in Marketing, and that there is a really big push for YouTube and video shorts, and that she reached out to Ms. Marshall about the movement. She said that everything will be a video. Ms. Taylor stated that everyone likes to tell their stories, and visuals go a long way. Chair Colaiainni stated that Libraries are more than books. IX. Announcements Next Library Board Meeting — June 25, 2025 Chair Colaiainni announced the next meeting. Ms. Taylor stated that.she will be at the American Library Conference. Scanned requested non -digitized items for them and adding the scans to our digital collection (two birds, one stone). • Assisted with general archival reference, including tracking down records using the city directories. Those have already earned their keep since we transferred them into the archives —yay! • Picked up shifts at the Research Desk as needed. Always good to emerge from the archives cave and see what the sun looks like. • Met with Tia Wright and her team from the Arts & Cultural Center. I'm helping them gather materials from our collections that document the timeline of the High School building — old photos, student/teacher-created documents, renovation records, and other ephemera from the building's long and winding journey. Acquisitions & Collections • New Donations: Janet Naughton generously donated a large batch of local postcards (from the early 1900s through the 1970s), which are being processed and added to the existing postcard collection. The finding aid is being updated to reflect the additions. Housekeeping & Processing • Continuing to chip away at reorganizing our internal folder and numbering system. Some collections were lacking clear identification or structure, so I'm working to make them more consistent and less prone to items going astray. • Processing backlog materials into appropriate collections, including: • Miss Gillian papers • Local newspaper donations • Boynton Police Department donations • Plenty more left in the backlog — onward! • Mary Kate and I are moving slowly but steadily on outreach for the oral history project. She's making contact with potential community storytellers — slow going, but we're getting there. Sewing with Judy and Joanne: Biscornu Pincushion 3. s�xfa- New Users: 6 Hours Watched: 2.52 The most popular class category this month was the beginner sewing project "Wristlet Clutch" In May, the studio launched its first "Intro to Cricut° program, introducing patrons to cutting machine basics and creative design projects. We collaborated with HR to produce custom tote bags for a leadership development program, showcasing practical applications of our equipment. This month also marked the beginning of our exploration into cooperative VR experiences, aimed at enhancing group engagement and immersive learning. Additionally, we began assembling take-home craft kits, which will soon be available for checkout to extend hands-on creativity beyond the library. In June, the Creative Edge Studio welcomed 10 new users through orientations. We hosted a 3D printing program where six patrons learned to design and print their own name tags. We also kicked off our new Adult Dungeons & Dragons Club, which will now meet twice a month. Studio staff assisted patrons with a variety of personal projects, including creating branded t - shirts for small businesses, scanning artwork and personal memorabilia to produce high- quality prints, and teaching an artist to use the laser cutter to improve their workflow and productivity. This class will be a brief 60 -minute chat along with instructions on how to use different technologies. Registration is required and limited to five seats. Others may drop-in but the five registrants will be given seats. This class will be held in the pop-up area of the library. After talking to my last group of Tech Talk attendees, they told me they enjoy chatting about Al and what Is out there, so I decided to make every first Thursday's Tech Talk called "Let's Chat Al". Tech Talk is by far my favorite class that I hold. I can see the evolution of my regular attendees. Each time I hold a class about a specific piece of technology, I see some of the same faces and each time they leave saying "I always learn something new". PUBLIC TECHNOLOGY TRAINING PROGRAMS Submitted by: Brianna Tabil 6 One -on -ones: One-on-one registrations have been low, I'm noticing that some people are having issues figuring out how to register for a 1:1 session on their own. I'm not sure what the solution is for this problem. This month I met with a patron who needed help learning how to use PowerPoint. She's taking online classes, and one of her classes uses PowerPoint during every class. She told me that the teacher has put her in a group of younger students who know how to use the program and she just types up what she wants added to the slides and they do it for her. She told me that she wants to be able to do that herself and not have to rely on the other students to put together her slides. In order to help her, we worked on a PowerPoint presentation that her groupput together earlier in the semester. Together we went over what they did on each slide, how they did it and how she can do it. We created a mock presentation so she was able to create it on her own. She left very happy and confident that she will be able to create her own slides when they break out into groups next class. Other Notes: Q3 Schedule has been posted to LibCal and flyers have been created. This quarter I am doing to try and hold virtual classes on Friday afternoons. These classes are informational and don't require any tech for the attendees. This is to try and make up for not holding classes on Monday night.
